Position Overview
Mayo Clinic is seeking a part-time Administrative Assistant to provide high-level non-clinical administrative support in a hybrid work environment. This role supports departmental operations through scheduling, coordination, documentation, and project assistance while maintaining professionalism, confidentiality, and attention to detail.
Key Responsibilities
- Provide administrative support including calendar management, meeting coordination, and follow-up
- Prepare documents, correspondence, reports, and presentation materials
- Coordinate professional travel and process expense reimbursements and invoices
- Support departmental projects and activities
- Create and maintain databases, spreadsheets, web pages, and social media accounts as needed
- Answer and manage phone communications with appropriate follow-through
- Utilize multiple software systems and office equipment simultaneously
- Ensure accuracy, completeness, and confidentiality in all administrative work
Required Qualifications
- High school diploma or GED with at least 2 years of administrative support experience
OR - One-year degree/diploma in an administrative, business, or medical-related field with 1 year of relevant experience
OR - Associate degree in an administrative, business, or medical-related program
Additional requirements include:
- Experience with calendar management, meeting coordination, and document preparation
- Proficiency with business software used for spreadsheets, databases, and presentations
- Strong organizational, communication, customer service, and interpersonal skills
- Ability to prioritize tasks, adapt quickly, and work in a fast-paced environment
- Experience with travel coordination and expense management
- Proficiency in English grammar, punctuation, and written communication
